SALES & PAYMENT
All transactions require the customer to agree to these Terms and Conditions.
Hot Rod Cameras requires, at minimum, a valid contact name, billing address, email address and phone number for all transactions. While we try to ensure accuracy, we reserve the right to correct any errors in pricing or descriptions, and to cancel or refuse any orders based on incorrect price or description. Such corrections may be made even after an order is accepted.
Special and Custom Order items are marked with an asterisk on your quote and packing list. A non-refundable/non-transferable deposit is required for Special Order items, and Full Payment is required for all Custom Order items. Deposit amounts are subject to change depending on additional manufacturer requirements.
Some items are available to purchase online that are not currently in stock. These items will display the time frame within which they normally ship. This is an estimate of how long it will take us to receive the item from the vendor, not how long it will take for you to receive the item. If your order contains products with different availability, we will contact you to confirm if you want all your items at the same time or in multiple shipments. Additional shipping charges may apply for separate shipments.
Unless a Net Account has been previously established with our Accounting Department and is in good standing, all sales clients must follow our standard COD payment procedure. We accept Visa, MasterCard, American Express, and Discover, as well as PayPal ,Amazon, Wire Transfer, Cash, and Check (personal, traveler’s, and cashier’s). Please note that Hot Rod Cameras will not release items paid for by Amazon, PayPal, Wire Transfer, or Check until the funds have been cleared. For most banks, this process can on average take 3-5 business days.
Please note that orders of $200.00 or more require a direct signature. Shipping fees are calculated on a combined basis of dimensions, weight, value, and destination. Some orders are shipped in multiple parcels. Final shipping costs may need to be adjusted during order processing. If there is a change in the total shipping cost, you will be contacted for approval before the order is finalized. If the billing and shipping addresses differ, your order may require additional verification, which could delay the processing of your order.
All orders picked up shipped within California are subject to sales tax. If you have a Sales Tax Exemption or Resale Certificate, please email this document to email@example.com and allow up to 48 hours for processing and corrected tax to reflect on your account.
Orders that will be shipped need to be confirmed and payment received by 2PM PST in order to ship same-day. Any orders placed after hours or on holidays and weekends will be processed the next business day, and items will be shipped as soon as they are available. If there is an exception this is a special request, please contact us.
Certain items that qualify as Hazardous Materials may incur additional fees and delays. These items include batteries.
ORDER STATUS & TRACKING
For any questions or concerns regarding your order status please contact Customer Service. Please reference your order number and account name in your email so that we will best be able to assist you.
RECEIPT OF YOUR ORDER
Upon receipt of your purchase, please check that all items on your packing slip have been accounted for. Carefully unpack and inspect the condition of all equipment, taking care not to damage the manufacturer’s original packaging. Do not fill out the manufacturer’s warranty cards or throw away any packaging materials such as boxes, instructions, inserts, bags, etc. until you are completely sure you want to keep the equipment. All claims for damaged or missing items must be reported to Hot Rod Cameras within five (5) business days of receipt of the equipment.
It is the customer’s responsibility to complete any rebate forms and return them to the manufacturer within the specified time limit and conditions of the manufacturers rebate program. It is further the customer’s responsibility to carefully read and understand the terms and conditions of such rebate programs, including any UPC code requirements before discarding any packaging.
The following policies apply to all transactions shipped to a destination outside of the U.S. or made with a credit card not issued by a U.S. bank, whether completed online, by phone, or in one of our physical locations. We reserve the right to request a direct wire transfer to our bank when it is advisable for the security of your order.
Some manufacturers have geographical restrictions that limit Hot Rod Camera's ability to ship internationally. In such instances, Hot Rod Cameras will direct you to the manufacturer or other authorized resellers. All international orders are shipped via WebInterpret please see their Terms of Service for all inquires for International orders.
Any Hazardous Materials that ship internationally may be denied by the destination country. Please contact your local customs office for details.
Our international clients should be aware that cross-border shipments are subject to inspection by customs authorities. We may also be called upon to provide certain order, shipment, and product information to our international carriers. Carriers may communicate such information to customs authorities for the purpose of facilitating customs clearance and compliance with local laws.
CUSTOMS & DUTIES
Orders shipped outside of the United States may be subject to import taxes, customs duties, and fees levied by the destination country. These fees, as well as any additional charges for customs clearance, are the responsibility of the recipient. Hot Rod Cameras has no control over these charges and cannot predict what they may be, and they can cause delays beyond our original delivery estimates. Contact your local customs office for further information.

RETURNS & EXCHANGES
All claims for damaged or missing items must be reported within 5 business days of receipt of your order.
If you are for any reason dissatisfied with your order, you can return it to Hot Rod Cameras at our discretion within 30 days of your receipt of the equipment. Please note, unless defective, a 20% re-stocking fee will be charged on any used or opened box products. We reserve the right to refuse any return that does not meet our conditions. Part of this fee is due to payment methods and to cover the Charges we incur through transactions of payments.
To request a Return Merchandise Authorization (RMA), please contact Customer Service and provide your order number, the item you wish to return, and the reason you would like to return it. Once an RMA number has been issued, please return the item to Hot Rod Cameras with the RMA. Make sure to include all original packaging in the return shipment and ship via a pre-paid, insured freight service. Please do not tape or write anything on the item or the original packaging. Doing so will result in a re-stocking fee.
Once an RMA is issued, the item must be returned before 30 days from original item receipt has expired. Items can be returned or exchanged only if the item(s) are in original packaging and delivered to Hot Rod Cameras in the same new condition as sold, with literature, instructions and blank warranty cards intact. Special Order items are refundable with a minimum 20% restocking fee. Shipping and Handling is nonrefundable.
For cash, check, and wire purchases, your refund will be issued through the same method that was used on the purchase and takes anywhere from 3-5 Business days.
For credit card purchases, the refund amount will be refunded to the card used at the time of purchase. If any of the above conditions are not met, Hot Rod Cameras reserves the right to refuse the return. No refunds or exchanges will be made on sales after 30 days of order receipt. Please allow Hot Rod Cameras 7-10 days from the date the returned merchandise is received to process returns.
While Hot Rod Cameras makes every effort to inform its customers of the details of the products we carry, it is ultimately the customer’s responsibility to understand the specifications, capabilities and limitations of the products purchased. Hot Rod Cameras is not responsible for personal data or items left within returned merchandise. Hot Rod Cameras is not responsible for any consequential damage resulting from the sale or use of any merchandise bought from us. We are responsible for the monetary value of the merchandise only.
The following items are nonreturnable:
- Hard drives
- End of life / clearance products
- Items with timers having more
than 120 minutes of use
- Custom Order items
WARRANTIES & WARRANTY REPAIRS
Most items sold by Hot Rod Cameras are covered by a manufacturer's warranty. When the item has a manufacturer's warranty, and/or the Hot Rod Cameras 30-day warranty period has expired, calls for service or repairs will be referred directly to the manufacturer or their authorized service centers. Warranty repairs on equipment are to be sent to the manufacturer or authorized repair centers for repair at owner’s expense after 30 days from purchase. PRIVACY & SECURITY
As with all clients of Hot Rod Cameras, we respect your privacy. Please see our Privacy & Security Policy for details.
You may return most new, unopened items within 30 days of delivery for a full refund. We'll also pay the return shipping costs if the return is a result of our error (you received an incorrect or defective item, etc.).
You should expect to receive your refund within four weeks of giving your package to the return shipper, however, in many cases you will receive a refund more quickly. This time period includes the transit time for us to receive your return from the shipper (5 to 10 business days), the time it takes us to process your return once we receive it (3 to 5 business days), and the time it takes your bank to process our refund request (5 to 10 business days).
If you need to return an item, please Contact Us with your order number and details about the product you would like to return. We will respond quickly with instructions for how to return items from your order.
We can ship to virtually any address in the world. Note that there are restrictions on some products, and some products cannot be shipped to international destinations.
When you place an order, we will estimate shipping and delivery dates for you based on the availability of your items and the shipping options you choose. Depending on the shipping provider you choose, shipping date estimates may appear on the shipping quotes page.
Please also note that the shipping rates for many items we sell are dimension based. To reflect the policies of the shipping companies we use, all dimensions will be rounded up to the nearest box size.
